3. How We Use Your Information

- Operate the loyalty program and calculate Points, tiers, and rewards
- Process booking credit redemptions and communicate with location operations staff
- Send push notifications regarding Points earned, tier changes, and promotions
- Send transactional emails including redemption confirmations and expiry warnings
- Verify social media actions for Points eligibility
- Process AI-assisted screenshot review for Instagram story submissions
- Detect and prevent fraud and abuse of the loyalty program
- Improve our services and develop new features
- Comply with legal obligations
- Communicate with you regarding your account and our services
4. AI-Assisted Screenshot Review
When you submit a screenshot for Instagram Story verification, the image is processed by an automated AI system (powered by Anthropic’s Claude AI) to verify whether the required content (@shotgungolf.ca tag) is visible. The AI system:
- Analyzes the image for specific text content only
- Does not store your image beyond the verification process
- Returns a verdict of approve, reject, or needs human review
- May flag submissions for human review by Shotgun Golf staff
By submitting a screenshot, you consent to this automated processing. Screenshots that cannot be automatically verified are reviewed by authorized Shotgun Golf staff only.
5. Sharing Your Information
We do not sell your personal information. We may share your information with:
- Our booking system provider: to process booking credits and session management
- Square: for payment processing (governed by Square’s Privacy Policy)
- Anthropic: for AI screenshot verification (image data only, not personal identifiers)
- Resend: for email delivery (email address and message content only)
- Expo: for push notification delivery (device token only)
- Franchisee operators: location staff receive redemption details (name, email, credit type) to process booking credits
- Legal authorities: when required by law or to protect our rights
All third-party service providers are required to handle your information in accordance with applicable privacy laws and are prohibited from using your information for their own purposes.
6. Data Retention
- Account information: retained while your account is active and for 7 years after closure
- Points transaction history: retained indefinitely for audit purposes
- Screenshot images: deleted after verification is complete
- Push notification tokens: retained while your account is active
- Booking history: retained for 7 years in accordance with tax and business record requirements

You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent to certain uses of your information (subject to legal and contractual obligations)
- Request deletion of your account and associated personal information

8. Security
